About the Company

MB Shipbrokers Chartering, Inc. is a dry cargo ship brokerage based on Mercer Island. We’ve been here for over 20 years and are part of the international MB Shipbrokers group. We work with shipowners and charterers around the world and handle time-sensitive, contract-heavy work.

The Role

We’re hiring an Office & Documentation Manager. This person will keep the office running smoothly and handle contract documentation for our ship brokerage deals. You’ll support the Brokers directly and work closely with a small, experienced team.

Responsibilities

Office Management

  • Manage office supplies, mail, expenses, and scheduling.
  • Handle general admin support and occasional executive assistance.
  • Keep email and contact records organized.
  • Coordinate annual event planning and logistics.

Documentation

  • Draft and track chartering documents (e.g., Charter Parties, Booking Notes, Addenda).
  • Follow up on signatures, final versions, and document circulation.
  • Maintain internal records using Excel, Access, and Outlook.
  • Archive and close out files.

Requirements

  • 2+ years in office admin, operations, or similar
  • Proficient with Microsoft Outlook, Excel, and Word
  • Strong attention to detail and follow-through
  • Comfortable working with contracts or business documents
  • Able to manage your own workload and deadlines

Nice to Have

  • Experience with shipping, logistics, or legal contracts
  • Prior work supporting executives or managing a small office

Compensation

  • $29/hour
  • Full-time, on-site role
