An in-house legal team is seeking a  Contract Legal Operations Manager to oversee essential operational functions and provide day-to-day support to the legal department. This onsite role, with  three flex remote days monthly , offers the possibility of transitioning into a  permanent position for the right candidate.

Key Responsibilities:

  • Manage legal billing, matter management, budgeting, financial accruals, and reporting.
  • Oversee communications with outside counsel and streamline processes with  ServiceNow for legal ticketing and  SAP for invoicing.
  • Handle legal holds, subpoena responses, small claims matters, and oversee compliance with legal workflows.
  • Respond to inquiries and provide operational support for various legal department needs.

Qualifications:

  • Proven experience in legal operations or similar role.
  • Proficiency with  ServiceNow and  SAP systems is strongly preferred.
  • Strong organizational, communication, and financial management skills.
  • Ability to work onsite daily with occasional remote flexibility.

Responsibilities:

• Oversee financial reporting and analytics for the legal department, including preparing monthly profit and loss statements and spending presentations for executives.

• Track billing, accruals, and budget adherence for law firms using tools such as CounselLink.

• Collaborate with Finance, Accounting, and HR teams to manage forecasting and accrual processes.

• Administer the legal matter management platform, ensuring data accuracy and timely entries from external counsel.

• Generate reports to monitor litigation trends and provide actionable insights.

• Utilize ServiceNow as an internal ticketing system to manage inquiries and assign matters to in-house attorneys.

• Perform paralegal-adjacent tasks, including subpoena responses and oversight of small claims cases.

• Support field operations teams with legal inquiries and provide guidance as needed.

• Assist in knowledge transfer processes to ensure smooth transitions during organizational changes.

• Maintain compliance with budget tracking and cost management while interfacing with external legal teams.

• Proven experience in legal operations, with a strong emphasis on financial reporting and analytics.
• Familiarity with matter management platforms such as CounselLink and ticketing systems like ServiceNow.
• Ability to manage budgets, track costs, and oversee external counsel billing processes.
• Strong analytical skills with attention to detail and the ability to thrive in a fast-paced environment.
• Background in legal or paralegal work is preferred but not mandatory.
• Proficiency in tools such as Aderant, Adobe Acrobat, and other case management software.
• Excellent communication skills and ability to work collaboratively across departments.
• Experience with calendar management, claim administration, and briefing processes.
